Final Submission Instructions

First of all, congratulations on acceptance of your paper! We look forward to meeting you in Bonn (virtually). Below you find the guidelines to submit the final version of your paper by August 15th, 2021. Final papers must be formatted in A4, two-column, IEEE style. Papers will be published in IEEE Xplore.

Submission of Final Papers

The final papers must be submitted through EasyChair. The author marked as first corresponding author will also be responsible for completing the copyright transfer (see below). This author will be contacted, up to a few days, after the final paper submission to finalise the copyright transfer.

Page Limit

The page limit is 6 pages, including references. Up to two extra pages are allowed at a cost of 100 EUR/page. Please indicate the number of extra pages in the registration form and provide your billing address.

No-show Policy

At least one author for each accepted paper must be registered prior to the final paper submission deadline and must present the paper at the conference. No-shows will not be included in the final proceedings.

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright.
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-6654-1213-1/21/$31.00 ©2021 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-6654-1213-1/21/$31.00 ©2021 European Union
  • For all other papers the copyright notice is: 978-1-6654-1213-1/21/$31.00 ©2021 IEEE
  • If you are preparing your paper in LaTeX, you can place the copyright notice into the \thanks{} command:

PDF Compliance

To check the “pdf” for IEEE compliance, you will have to log into IEEE pdf eXpress. Use conference ID # 50962X. You will need to create a new user with your email unless your email is already registered from another conference. After this, you need to upload your paper and you will receive an email with either errors or with a confirmed pdf. Upload this confirmed pdf to the EasyChair paper submissions system as the final version. Before uploading the final version, please make sure that submission and author(s) information are accurate.

When submitting your paper, the first corresponding author will be our contact point who must submit the Copyright Form. This is necessary for the inclusion of the paper in the conference proceedings, published by IEEE. Once you have submitted your final paper (through EasyChair) you will receive a separate email requesting the transfer of Copyright. Please note that all clearances for publication must be obtained by the authors. The paper cannot be published in the proceedings if the Copyright Form is not properly completed.

Template

You can prepare your paper using the available LaTeX or Microsoft Word templates and following the same paper preparation instructions as with the initial submission. Make sure to have the latest templates and do not change the formatting in any way.

Teaser Video

To advertise your paper, you must also upload a 1-2 minute teaser video (up to 20MB) on EasyChair. This video will be made available on the ECMR website. For interactive presentations, this video will be played in the oral session prior to the interactive session. MPG, MPEG or MP4 video formats can be used.

Authors retain the right to upload their paper to their own web site, their employer’s site, or to another server that invites constructive comment from colleagues such as arXiv. Upon submission of the final version to ECMR, authors are required to transfer copyright to IEEE, and must update any previously posted version of the paper with a prominently displayed IEEE copyright notice. We encourage authors to make their final paper publicly available with a note that it has been accepted for the 10th European Conference on Mobile Robots (ECMR 2021). Please provide a link to a publicly available version of your paper when uploading the final paper in EasyChair ! We will link to it from the public part of the ECMR 2021 website.
